Privacy Notice
This Privacy Notice explains how Inference Europe processes personal data when you visit this website, request an invitation to a roundtable or choose to receive information about future Inference Europe roundtables and briefings.

2. Website access and server logs
When you access this website, the web server and hosting infrastructure may process technical information required to deliver and protect the website. This may include your IP address, the requested page, the date and time of the request, the referring page when transmitted, browser and device information, and the HTTP response status.
This processing is necessary to operate the website securely and reliably, detect technical problems and protect it against misuse. The legal basis is Article 6(1)(f) GDPR. The legitimate interest is the secure and technically reliable operation of the website.
Technical logs are retained only for as long as reasonably necessary for security, troubleshooting and abuse prevention. They may be retained longer when required to investigate a security incident or comply with a legal obligation.
3. Invitation requests
When you request an invitation, Inference Europe processes your name, work email address, company, role, information about the enterprise AI decision you are working on, and your optional preference to receive information about future roundtables and briefings.
The information is used to review your request, assess whether the roundtable is relevant to your role and current work, contact you about the requested roundtable, and manage invitations and participation.
The legal basis is Article 6(1)(f) GDPR. The legitimate interests are organizing a relevant and curated professional roundtable, reviewing participation requests and communicating with people who have requested information about the event.
The required form fields are necessary to review the invitation request. Without this information, Inference Europe may be unable to assess or respond to the request.
Inference Europe does not collect advertising identifiers, browser fingerprints, analytics identifiers or precise location data through the invitation form.
4. Google services
Invitation requests are stored and managed using Google services, including Google Sheets and Google Apps Script.
Google receives the information submitted through the invitation form as a service provider used to store and manage applications. Google may process data through group companies or infrastructure located outside the European Economic Area in accordance with its applicable terms and data-protection obligations.

5. Future roundtables and briefings
The invitation form includes the optional checkbox:
“Keep me informed about future Inference Europe roundtables and briefings.”
The checkbox is unchecked by default. Selecting it is optional and is not required for an invitation request.
When you select the checkbox, Inference Europe uses your name, email address, company and professional context to send occasional information about future Inference Europe roundtables and briefings.
The legal basis is your consent under Article 6(1)(a) GDPR. You may withdraw your consent at any time by emailing octavio.herrera@gmail.com. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal.
The information collected through this optional preference will not be used for unrelated marketing or shared with other organizations for their own marketing purposes.
6. Retention
Invitation requests are normally deleted no later than six months after the relevant roundtable has concluded or, when no invitation is issued, six months after the final communication concerning the request.
Information used for future roundtable and briefing updates is retained until consent is withdrawn or the update list is discontinued. The list is reviewed periodically and inactive contacts should be removed when continued retention is no longer justified.
Information may be retained longer when required by law or when reasonably necessary to establish, exercise or defend legal claims.
Retained application data is reviewed periodically and deleted in accordance with the periods described above.
7. Recipients and data sharing
Personal data may be accessible to:
- Octavio Herrera, as the operator of Inference Europe
- Technical hosting providers where necessary to operate and secure the website
- Google, as the provider of Google Apps Script and Google Sheets
- Professional advisers or public authorities when disclosure is legally required or necessary to establish, exercise or defend legal claims
Inference Europe does not sell personal data.
Personal data is not shared with sponsors, event participants or unrelated businesses for their own marketing purposes.
8. Email and direct communication
When you contact Inference Europe by email or respond to communication concerning a roundtable, the information contained in that communication is processed to respond to your enquiry and manage the related professional correspondence.
The legal basis is Article 6(1)(f) GDPR for general professional communication. Where communication concerns steps requested before entering into a contractual relationship, Article 6(1)(b) GDPR may also apply.
9. Cookies and tracking
This website does not currently use analytics, advertising cookies, tracking pixels or non-essential tracking technologies.
The website does not embed Google Forms, Google Analytics, LinkedIn tracking, social-media widgets, videos, maps or advertising services.
10. External links
This website contains normal external links to LinkedIn. No LinkedIn plugin, feed or tracking pixel is embedded.
Data is transferred to LinkedIn only when you choose to follow an external LinkedIn link. LinkedIn processes the resulting information under its own terms and privacy notice.
11. Your rights
Subject to the conditions of the GDPR, you may have the right to:
- Request access to your personal data
- Request correction of inaccurate or incomplete data
- Request deletion of your data
- Request restriction of processing
- Receive data in a portable format where applicable
- Object to processing based on legitimate interests

12. Right to object

14. Automated decisions
Inference Europe does not use solely automated decision-making or profiling within the meaning of Article 22 GDPR to decide invitation requests. Invitation requests are reviewed individually.
15. Security
Inference Europe uses appropriate technical and organizational measures intended to protect personal data against accidental or unlawful loss, alteration, disclosure or access.
No method of electronic transmission or storage can provide an absolute guarantee of security.
16. Changes to this notice
This Privacy Notice may be updated when the website, event process, service providers or legal requirements change. The current version and update date will remain available on this page.
